Requests for Personal Information (Data Protection Act 1998)
If you wish to have access to information about an individual, yourself or someone else, we will need:
- Your request in writing - email is acceptable
- Proof of your identity - usually 2 forms of ID, preferably one with a current photo
We keep information in different locations, depending on why you have been in contact with us. To ensure that we give you all your information, it is helpful if you let us know what information you wish to see, or give us details of when you have been in contact with us.
We have a form you may use, or you can write to us in your own words.
If you are requesting information about someone else, we have a legal duty to ensure that you have a right to see that information.
We may not be able to provide you with a copy of all your information; where this occurs, we will tell you why we cannot give you that information.
We do not, currently, charge for providing personal information.
Requests for General Information (Freedom of Information Act 2000)
You can request official information from us: this could be minutes of a meeting, a copy of a policy, or other information that doesn’t relate to an individual.
If we cannot provide the information to you for any reason (e.g. where exemptions apply), or we do not have the information you request, we will let you know as soon as we can.
The Freedom of Information Act provides a fees limit, equating to 18 hours work. If your request will require more than the 18 hours work we will contact you; we will confirm if we have the information and will provide you with an estimate of what costs may be charged outside of the 18 hours work.
To make a request we will need:
- Your request in writing – email is acceptable
- A valid address for contact – an email or postal address
What happens next?
Once we have received your request, we will acknowledge your request, provide you with a reference number and ask for any further information we may need to process your request. Once we have all the information we need to process your request, we will tell you the date that you can expect to receive your information. For requests under the Data Protection Act, this is 40 calendar days; for requests under the Freedom of Information Act, this is 20 working days.
